Purpose of this assignment


The purpose of this assignment is to understand the role of an event organizer and be able to plan and run a business event.

Scenario

For this assignment you will need to choose an event that you would like to manage in future. An example of such event could be a business conference, education fair, a music concert, or any similar event.

Make sure you get a verbal approval from your instructor about the type of event you have chosen prior to start preparing the report.

You will need to prepare a report to address the particular tasks presented below.

Task 1 (P1, P2)

Describe the skills needed to organize the event and explain the role of the event organizer.

A.  Make an introduction about the event you are preparing for.

B.   Describe the role of an event organizer.

Your answer should include (organizing, limitations, the programme, procedures, legal requirements, and documentation).

C.     Describe the skills an organizer need to organize this event.

Your answer should include (communication and interpersonal skills, time management, problem solving, negotiating, planning, resource management, evaluating, and monitoring).


Task 2 (M1)

Assess the importance of meeting organizational and legal requirements when planning a business event.

A.  identify the legal requirements for the event. Your answer should include (contractual, health and safety, and age requirements)

B.   Assess their importance of being meeting those legal requirements. Explain how they can affect the planning of your event.


Task 3 (M2)

Analyse the arrangements made by the even organizer to plan the business event.

You should analyse the arrangements you will need to plan the event including:

A.    the event brief (the event type, size, target audience, responsibilities, and procedures)

B.   Budget and cost analysis

C.   Distribution of supporting documents

D.  Consultation and planning

E.   Clear and accurate communication

F.    Organizing appropriate venue

Task 4 (P3, P4)

Prepare a plan for this business event and arrange and organize a venue ensuring health and safety requirements are met.

A.  Provide evidence of planning the business event which includes tasks suchas booking the venue explaining the (location, size, layout, facilities, and special requirements).

B.   Identify the resources needed for the event including the (room, equipment, and refreshments).

C.   How will you arrange travel and accommodation for your guests?

D.  Ensure health, safety and security of the venue and equipment are met.

Your answer should include (venue emergency procedures, housekeeping arrangements, security of materials and equipment, and confidentiality of information and communication).
